This is not a traditional front desk role. It is best suited for a highly capable professional who understands how front-of-house operations directly impact patient trust, provider efficiency, and business performance. The right candidate is detail-driven, proactive, calm under pressure, and deeply invested in doing things correctly. You will begin by mastering all front-of-house operations and client experience workflows. Over time, this role expands in scope through demonstrated performance - supporting operational improvements, refining systems, and partnering with leadership on practice growth and administrative structure. We are looking for someone who sees this as a long-term, career-defining position, not a stepping stone. CORE RESPONSIBILITIES Front-of-House Operations & Patient Flow Own all front desk and client-facing operations including scheduling, EMR accuracy, patient intake, checkout, and communications Ensure seamless patient flow across providers, rooms, and services throughout the day Serve as the primary front-of-house liaison, setting the tone for professionalism, discretion, and care Handle complex or sensitive patient situations with confidence and emotional intelligence Operational Excellence & Systems Ownership Develop a deep understanding of SoVous workflows, treatment protocols, and brand standards Identify inefficiencies or breakdowns in scheduling, communication, or patient flow and propose practical solutions Maintain, refine, and enforce front-of-house SOPs to ensure consistency and scalability Track inventory, manage supply ordering, and support clinical readiness in partnership with providers Growth, Leadership & Strategic Support Collaborate with the Practice Administrator and Owner on operational planning and workflow optimization Support future administrative hiring by helping define role needs, training workflows, and standards Contribute to marketing initiatives, events, and elevated patient experience efforts when appropriate Grow into broader operational leadership responsibilities based on performance, trust, and demonstrated capability IDEAL CANDIDATE PROFILE This role is best suited for someone with: 3 years of experience in one or more of the following environments: Medical or clinical practice Concierge medicine Luxury hospitality or wellness High-end service-based operations A strong understanding of how front-of-house operations function in a medical-grade or highly structured environment Exceptional organizational skills and attention to detail A proactive, solutions-oriented mindsetyou notice issues before they escalate High emotional intelligence and professional presence Comfort working with EMR systems, scheduling platforms, and patient communications A desire to grow into senior operational responsibility through performancenot titles Alignment with a culture that values accountability, excellence, and meaningful work WHY THIS ROLE MATTERS Front-of-house operations are foundational to everything we do.
